Background
A long-standing community provider with a fragmented systems estate
Leeds Federated Housing Association (LFHA) has been dedicated to providing safe, affordable homes since 1975, serving communities across Leeds, Wakefield, and North Yorkshire. While the organisation focused on delivering homes that people want to live in, its property management systems had become increasingly fragmented and inefficient: leading to significant operational challenges.
The challenges
- Information accessibility. Difficulty accessing timely, accurate information.
- Manual processes & data errors. Multiple systems, minimal validation.
- Excessive reporting time. Long manual reconciliation cycles, low confidence in outputs.
- Compliance & audit gaps. No clear audit trail.
- No “golden thread.” Couldn’t defend reporting back to source evidence.
Solution
A comprehensive procurement, then a tailored implementation
LFHA embarked on a comprehensive procurement process with three primary goals: improve functionality, streamline operations, and realise value for money, whilst enhancing services for residents.
Asprey’s solution stood out due to its potential to drive operational efficiencies and improve data integration. Asprey provided expert insight into LFHA’s existing systems, recommending a strategy for system rationalisation and cost reduction. This approach aligned with LFHA’s aim to modernise its property management infrastructure.
Asprey’s team worked closely with LFHA throughout the implementation to ensure the solution was tailored to their specific aspirations and needs. The integration of Asprey Assets involved data rationalisation and process automation, significantly improving operational efficiency across the organisation.

Outcome
Transformed operations. £3M in grant funding
By utilising Asprey Assets in combination with Sava Intelligent Energy, LFHA was able to secure £3M in grant funding under the SHDF Wave 2.1 initiative. This funding will be used to further enhance the energy efficiency of LFHA’s housing stock: improving sustainability and reducing energy costs for residents.
The team at LFHA has reported a range of organisation and user benefits:
Operational efficiency
A reduction of systems in use lowered operational costs.
Simplified data collection and usage, improving data accuracy and reducing administrative burden.
By simplifying complex processes, LFHA was able to make more proactive operational and strategic decisions.
A single, accurate version of the truth was established, improving data consistency and reliability.
Improved access to real-time data allowed for better tracking of performance and earlier interventions when needed.
The solution fostered improved collaboration between teams, promoting a unified approach to property management.
Customer service improvements
LFHA was able to collect data on property condition and compliance more quickly, minimising disruption to customers.
With more accurate data and forecasting tools, LFHA could make faster, more informed decisions regarding investment and energy efficiency initiatives, ultimately improving residents’ homes.
Automated processes reduced the time spent on routine tasks, enabling LFHA staff to focus more on customer queries to provide more timely and accurate responses.
“The system covers off all areas of Assets and its integration with Intelligent energy, which made it a relatively easy job to gather the data required to put in a bid for Social Housing Decarbonisation Fund monies. [...] Whilst the system is off-the-shelf, its flexibility allowed us to meet the system requirements of many business units and provided access to organisation-wide information. Asprey Consultants were extremely knowledgeable and efficient, and the implementation was very painless, with the project delivered on time and to cost.”
